Quay Management - Privacy Notice
We are writing to you to comply with the latest EU legislation on data protection.
Under the terms of the Data Protection Act 2017 we are a designated Data Controller.
As a result, we are legally obliged to make it clear to our clients what information we hold about them, where, why and for how long for we store it.
This Privacy Notice explains what Personal Data Quay Management (QM) holds, why we hold and process it, who we might share it with, and your rights and freedoms under the Law.
Types of Personal Data we keep on our clients:
QM keeps personal data in the following categories:
1. Personal contact details
2. An account of your financial transactions with us.
3. In some cases your bank account details
4. Images of any property you wish us to advertise to let on our website.
5. Details of people used to manage services to a property.
Why we process Personal Data (what is the "purpose")
"Process" means we obtain, store, update and archive data.
Client data is held for the purpose of providing clients with appropriate, rental agreement services. To advertise a property on our website. To liaise between clients to ensure a smooth transition into and out of the property in the rental period and liaise with clients for any problems arising during the tenancy. Manage the presentation of the property before and after a rental.
What is the Lawful Basis for processing Personal Data?
The Law says we must tell you this:
We hold clients' data because it is in our Legitimate Interest to do so. Without holding the data we cannot work effectively.
Who might we share your data with?
We may share your data with people directly in an agreement with you but only with your consent.
WE DO NOT SHARE YOUR DATA WITH ANY OTHER THIRD PARTIES.
Client data may also be stored for back-up purposes. We use removable hard drive storage.
You have the right to:
1. Be informed about the personal data we hold and why we hold it.
2. Access a copy of your data that we hold by contacting us directly: we will acknowledge your request and supply a response within one month or sooner.
3. Check the information we hold about you is correct and to make corrections if not.
4. Transfer your data to someone else if you tell us to do so and it is safe and legal to do so. For example to another rental company.
5. Tell us not to actively process or update your data in certain circumstances.
For example: you may wish not wish to be contacted by us if you are no longer renting your property with us, or remove images related to your property from our website.
How long is the Personal Data stored for?
We store your data for five years after your last transaction with us to comply with HMRC regulations.
What if you are not happy or wish to raise a concern about our data processing?
You can complain in the first instance to our Data Protection Officer, who is Katie Moore, and we will do our best to resolve the matter. If this fails, you can complain to the Information Commissioner at www.ico.org.uk/concerns or by calling 0303 123 1113.

Quay Management only collects personally identifiable information about you (i.e. your name, email address etc.) through our website when voluntarily submitted by you, the visitor. Visitors may choose to submit personal information to obtain information or submit a comment. Providing personal information is up to you, our visitor.
If you do not want your personal information collected, please do not submit it to us.
We do not now and will not give or sell or trade personal information about you to third parties. Quay Management website contains links to other sites and whilst we make every effort to only link to sites that share our standards, we cannot be held responsible for the contents and privacy policies of such sites.
Security measures are in place to prevent the loss, misuse or alteration of the information received from our online visitors, and to make such information as secure as possible against unauthorised access and use.
Cookies use on this site
We use Google Analytics which generates a number of tracking cookies which help collect anonymous data about our visitors . This is technical information is collected automatically when you connect to our site which is not personally identifiable.
An example of this would include the type of Internet Browser or the type of computer operating system you are using or the domain name of the website from which you linked to our site. We use "cookie" technology and IP addresses only to obtain non-personal information from on-line visitors to ensure we deliver the most appropriate on-line experience for people interested in our services.
The Google Analytics tool (which is present an virtually every commercial website) is used to track the total number of visitors to our site in an aggregate form to allow us to update and improve our site, keeping it fresh and interesting to the majority of our visitors; personally identifiable information is not extracted in this process. No other form of cookie or other tracking device is used on this site.
We also have a connector to our facebook page. Facebook generates a cookie again for tracking purposes.
The property search side of our website uses a number of cookies which are required for the search and presentation of properties to the visitor.
Turning off cookies will not affect your enjoyment of this site but may result in certain preferences not being set or require that searches be run repeatedly as preferences and search results/history will not be retained.
Use of this site
You agree by your initial use and continued use of this site not to reproduce, retransmit, disseminate, sell, distribute, publish, broadcast, circulate or commercially exploit the information available on this Site in any manner without the express written consent of Quay Management, nor to use any of the information available on this Site for any unlawful or illegal purposes.

Quay Management may link to other sites that may be of interest to you but for which Quay Management has no responsibility or relationship.
